Privacy at Guard Sheets
Last reviewed: September 29, 2026.
This page describes how the Guard Sheets website handles information when you browse the library or use its contact form. Guard Sheets provides spreadsheet resources for physical security guard administration. It is not a place to submit incident evidence, personnel files or emergency reports.
Information you provide
The contact form asks for your name, email address, subject and message. These fields are required to identify the request and provide a way to respond. The message is stored in a private website inbox accessible to administrators. The confirmation means the website stored the message; it does not mean an email was delivered or that someone has read it.
Please describe a workbook problem using its page URL, sheet name, cell reference and an anonymized example. Do not include passwords, financial account details, employee health information, identification documents, client security plans or identifiable incident reports. There is no file-upload field.
Technical information and security checks
The hosting server records technical requests, including IP addresses, request times, requested paths, response codes and browser information. This supports delivery of pages, diagnosis of errors and investigation of misuse. Search words and other information included in a URL can appear in technical logs. Avoid putting confidential information in searches or links.
The contact form uses a security token, an automated-submission trap and a rate limit. Its rate-limit record uses a keyed hash of the connection address rather than storing the plain address in that record. The server’s separate access logs may still contain the IP address.
Storage and access
The website and its contact database are hosted on a server in Canada. Authorized website administrators can access contact messages. Technical hosting and server administration services support delivery and maintenance of the website. Information is not displayed as a public comment or added to a mailing list by the contact form.
A submitted message remains in the private inbox until an administrator removes it; the form does not currently apply an automatic deletion schedule. Invalid submissions can be kept temporarily to let you correct the form: that temporary state expires after 15 minutes and is removed when retrieved. Rate-limit entries expire after one hour. Server log rotation is configured daily with 14 rotated logs; low-traffic logs may remain longer when a log is empty and not rotated. These settings are not a promise that every copy of a record disappears on a particular date.
Workbooks and download counts
Editing a downloaded workbook in your own spreadsheet application does not send its cell contents back through this website. Your own cloud spreadsheet provider, if used, has separate practices. Download links can increment a total for the relevant workbook without setting a visitor tracking cookie. Technical requests can still appear in server logs.
Cookies, advertising and embedded services
The current library does not include an advertising tracker, a newsletter signup or third-party visitor analytics. Fonts and brand images are served from this website. WordPress uses a temporary browser storage entry to check emoji support. Administrator sign-in has separate authentication cookies. See Cookies and browser storage for the current inventory and browser controls.
Questions and privacy requests
Use Contact Guard Sheets to ask about personal information you have submitted, request a correction or ask for deletion. Give enough context to locate your message, but do not send an identity document in your initial request. Rights and exceptions depend on the rules that apply to your situation. The contact form is not an emergency or secure evidence-transfer service.
Changes to this page
This notice should be reviewed when the form, hosting arrangements or measurement services change. The review date identifies this version; it is not a certification of compliance. See the website notice and terms of use for the scope of the library.
