Keep the incident reference separate from sensitive evidence
A follow-up tracker can hold a case reference, responsible role, due date and action status. Store statements, images, personal identifiers and evidential materials only in systems approved for that purpose. Distinguish when an event happened, when it was reported and when an action was completed. Route immediate threats through established emergency procedures, not a spreadsheet queue. Quality covers recurring reviews rather than individual case files.
Does marking an action complete close the incident?
Not by itself. Confirm the required approval, escalation and retention steps in your organization. An administrative status does not establish facts, resolve liability or authorize disclosure.
